Tutorial: Managing Wines by the Glass with COENA Wine List on iPad

Offering wine by the glass is a must for modern restaurants and wine bars. With COENA’s Wine List app on iPad, you can manage your wine-by-the-glass offerings easily, whether or not you use our stock and inventory management add-on module. This short guide will walk you through the process and highlight the differences between managing wine by the glass with and without our stock management add-on.

Without COENA’s Stock & Inventory Management Add-On

If you don’t use COENA’s stock and inventory management module, managing wine by the glass is simple and flexible. Here’s how it works:

How to Enable Wine by the Glass

1.Set a Price for the Glass Volume

In the wine fact sheet, enter a price greater than 0 in the “glass” field. For example, in the wine fact sheet below, we have entered a sales price of $13 for a glass of Zonin Prosecco. This wine is also sold by the bottle for $60:

This small action will have two important effects:

•A glass icon and the price per glass will appear in the main wine list, right next to the prices for bottles and other volumes:

 

•The wine will be automatically listed in the “Wine by the Glass” section when customers select this category from the main screen:

2.One Fact Sheet for Both Bottle and Glass Sales

Please note that there’s no need to create separate fact sheets for a wine sold by the bottle and by the glass. Simply enter both the bottle price and the glass price in the same fact sheet as shown above.

3.How to Remove a Wine by the Glass

To remove a wine from your by-the-glass offerings, simply set the glass price to 0. The wine will no longer appear in the “Wine by the Glass” category, and the glass icon will disappear from the main list.

With COENA’s Stock Management Add-On Module

For those using COENA’s stock and inventory management module, managing wine by the glass involves more advanced functionality to cover various real-world use cases. Let’s look at two key scenarios.

Use Case 1: Showing a Wine by the Glass Even if the Stock of Glasses is 0

In many cases, restaurants want to offer wine by the glass from any bottle currently in stock. With COENA, you can easily do this:

•If the stock of the bottle is greater than 0, AND the glass price is set to a value greater than 0 in the fact sheet, the wine will appear in both the main list and the wine by the glass view, EVEN if the stock of glasses is 0.

This makes sense because waiters and sommeliers can always open a bottle to serve this wine by the glass if asked for.

This is done by clicking, in the wine management module, on the wine in the glass stock section and executing a sales operation “-“. As can be seen below, as there is no stock anymore of this wine by the glass, a bottle will be opened (and the stock of the bottles will be decreased by 1) and the number of glasses left will be decreased accordingly:

Note that the number of glasses per bottle of 75cl can be selected by using the settings button in the stock management view:

Key Tip: The app prioritizes bottle stock for calculating availability. As long as you have a bottle in stock, the option to serve by the glass remains available.

 

Use Case 2: Showing a Wine Only by the Glass (and Not by the Bottle)

Some restaurants prefer to offer certain wines exclusively by the glass, without selling full bottles to customers.

Here’s how to set this up with an example of a Billecart Salmon Brut that we only want to sell by the glass:

  • Set a sales price by the glass in the fact sheet

 

  • Set the stock of bottles to 0 and the stock of glasses to any value greater than 0.

  • The wine will only appear in the “Wine by the Glass” section as well as in the main wine list (with the price of the glass indicated next to the glass icon on the left)

This setup is ideal for wines that are specifically reserved for by-the-glass service, such as premium wines you want to offer in small quantities or wines available for special tastings.

Specify the Volume of the Glass (Optional)

While COENA currently doesn’t allow you to specify the exact volume of the glass (e.g., 12 cl or 15 cl) directly in the wine fact sheet, you can add this detail as a footer note in the app.

This feature is available on request from our Customer Success team, who can enable it for you through the back end.

We recommend including this information to provide transparency to your customers and enhance their experience.
